Fine-Tune Your Moraware Data to Make Better Business Decisions

Times are tough right now as COVID-19 spreads across the country. States are going on lockdown, and many are being asked to shelter at home.

Business at your countertop shop might be slow right now, but instead of letting stress, fear, and panic take over, spend this time as wisely as possible by fine-tuning your shop’s data.

Uncertainty Is Hard

When business is slow, it’s the unknown that can cause you to spend all of your time stressing. Kim was working in the industry for a fabrication company during the crash of 2008, and she watched a lot of her friends not make it to the other side. 

“I’ve witnessed this type of thing, and a lot of shops are in reaction mode,” Kim says.

Her goal is to help you make it, and one way to do that is to get more out of your data.

“If nothing else, the biggest thing I can help with right now is showing you your data in a meaningful way that can help you make better decisions moving forward,” she says.

You’ve probably heard the saying “good data in, good data out.”

If you’re using CounterGo or Systemize and aren’t putting accurate information into the system, there’s not a whole lot Kim can do.

Data isn’t always accurate enough to be extracted in a meaningful way. If that’s the case, I typically do a whole system overhaul,” Kim explains.

The full-meal-deal typically involves an on-site consultation where Kim learns your goals and determines how to accomplish them. She redesigns how things are done, increases the efficiency of your system, and even trains the staff. 

While it’s not practical to do an on-site visit right now as we’re all hunkering down at home, you can still make an effort to improve the data you’re entering.

Business Challenges You Might Want to Tackle

With the extra time on your hands right now, you might ask yourself what business challenges you want to tackle. “A lot of my clients are calling me trying to fine-tune some of the projects they’ve been wanting to work on for a while,” Kim shares.

What projects have you been sitting on that you want to tackle?

“Really, it’s making the data you’re already entering work for you so you can utilize it to make better business decisions,” she says.

Better Views For Remote Work

A lot of countertop shops have their staff working from home right now. As such, Kim explains that while many are still in stop-the-bleeding-mode, some customers are getting back on track and want to make that transition a bit easier.

“I had a customer yesterday put together some views to make sure their people can better use the software remotely,” she says. “I think I’ll have more people reaching out for that in the coming weeks.”

Going Back Out to Job Sites

Another challenge you might want to tackle is uncovering where things are falling through the cracks.

For example, when you have to go back out to the job site, what’s the cause? If you can organize the data more clearly, Kim says you can evaluate it and make a better plan for the future.

Was the revisit a service call? A remake? Did someone forget the backsplash?

With data, you can also pinpoint who is the cause of the revisits, which can help you have better discussion points with those individuals. You might also come up with a better plan for making sure you have the backsplash next time you leave for a job.

If you have to go back out, your margins are gone,” Kim explains. Data can help avoid that by exposing the errors.

Finding Your Most Productive Staff

The data you’re entering into your Moraware software can pinpoint your weaknesses, but it can also showcase your strengths.

Kim can help you figure out who is templating or installing the most by comparing dollars per square foot and square foot per individual.

This can uncover who is doing the most work, but also who does more complex jobs. You can isolate that information with good data – all you have to do is organize it and put it into a view that’s easy to understand.

“Some people have me create a way to measure their employee’s workloads,” Kim says. “If someone says they’re overworked and need help, you can compare that staff member against other employees.”

Getting the Most From Moraware

If you want to make better decisions with the data already inside your Moraware tools, but you don’t know where to begin, Kim can help.

People don’t know what they don’t know – I help them determine what direction to go in and how to get there,” she says.

For Kim, this is usually her busiest time of year, but with COVID-19, things have come to a bit of halt. 

“I want to help you have as many tools as possible to get you through this,” she explains. “I can even delay invoicing for 3-6 months to help you out and get past this.”

    Great recommendations, guys! When working with data, I find it helpful if you first determine the questions you want answers to and how often you need those answers. Once you have those figured out, it is a little easier to determine what data needs to be collected and how you want it reported.

    Do you have persistent quality problems that need to be solved? What data can you collect that will help you solve those issues beyond ‘who did it’? Do the problems seem to be with a certain K&B re-seller or with a certain material?

    If you have lead time issues (takes too long to get the job through the shop), does that happen with certain specific customers or types of customers (maybe that customer changes job specs frequently and that slows down the job)?

    Just a few ideas to get you started.
