Key Takeaways from Our Webinar: CounterGo + Systemize
If you’re manually re-entering job details, or struggling to keep your sales team and shop floor on the same page, you’re not alone. During recent shop visits, our Moraware team discovered that some shops are unfamiliar with using Orders in CounterGo, or aren’t taking full advantage of the Orders feature, even shops that have been using it for years.
That’s why we hosted Closing the Gap Between Sales and the Shop: How CounterGo and Systemize Work Together, a webinar showing how the Orders feature creates a seamless connection between your quotes and your shop floor. We provided a summary with what you need to know so you can streamline your workflow.
You can also watch the full webinar on-demand to get all the details and see a demo.
Why Orders Matter for Your Shop
Using Orders in CounterGo transforms how you manage the transition from quote to production. Here’s what it enables:
- Stay Organized: Orders keep you organized as a Quote moves from a bid to a confirmed sale
- Track Critical Details: Converting a Quote to an Order lets you track added details like payment history, sales dates, and total price without jumping between systems
- Eliminate Errors: If you are using both CounterGo and Systemize, you can create Jobs directly from Orders, automatically pulling Order information in the the Job which reduces errors, manual entry mistakes, and duplicate data entries
The result? A single source of truth that connects quoting, job scheduling, and shop floor execution. This webinar provides a walkthrough of how to convert a Quote into an Order and then into a Job.
Turning Quotes into Orders
Once your customer approves the design, color, and edge selections in CounterGo, converting to an Order takes just seconds. Click Order at the top of the page, select your sale date, and you’re done. Your Quote is now an Order.
What changes? The Order screen looks similar to your Quote page, but now includes:
- Payment Tracking. This is where you can add payment details such as down payments using various payment methods.
- Complete Order Summary. You can also see payment information in the Order Summary Section as well as view total price, square footage, materials, and all components like waterfalls and sinks, everything that will automatically transfer to your Job.
- QuickBooks Integration. If you use QuickBooks for your accounting, using Orders will allow you to export that information over as an estimate or an invoice, eliminating duplicate data entries.
Converting Orders into a Job
Now comes the magic. Once a quote has been converted into an Order, you can turn the Order into a Job. You go to the top of the page, hit the plus sign to create a new Job for the Order. Select your template, and your activities and forms are automatically populated.
When you hit save, details from the Order flows into Systemize:
- Materials and edges
- Sink specifications
- Price and square footage
- Sale date
- Details for each room
Everything is at your fingertips, no re-typing, no copy-pasting, no errors.
The benefits of converting orders into a job include:
- Seamless change management: If your customer decides to change the color or if the templater realizes that the drawing needs an adjustment, just like with a quote, you can go into the Order, you can edit and make adjustments. Then when you go into that Job again, the square footage is automatically updated in the forms.
- Calendar Integration: When you move into the calendar view, even if you don’t pull your information into Order Forms on your Job, you can still display Order information on your Calendar. Your display fields pull in data from the Order area, including subtotals from CounterGo.
- Full Visibility: In the Job view, you can also pull in Order information. You can see the material, square footage and other details.
Powerful Reporting
Orders unlock robust reporting capabilities in CounterGo. Track metrics like:
- Installed square footage by month
- Top color trends
- Orders per month
Our Support Team can help you set up custom reports tailored to your business needs, or you can create them yourself using the Knowledge Base guides.
